Job Description:

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Front Office:
Answering telephone calls and connecting the caller with the team member that can address their specific questions/needs
Greeting visitors and/or Sales Representatives as they enter the building
Filing: Matching payments with invoices and filing appropriately along with NDA's, Customer Machine Files, etc. as well as maintaining the file room. This includes the organization of the files and room, the boxing & storing files off-site as appropriate.
Machine Shipments:
Entering the machine order into ERP system once Purchase Order is received from customer
Reviewing the accuracy of the order received, comparing the order with the associated quote
Addressing discrepancies between the order received and the quote and working with the Customer and/or the Sales group to resolve issues
Notifying team members (including Operations Director, Engineering Leader, Quality Leader, Management) of the received order and specifics of the order
Working with the customer to determine method of shipping. If customer is arranging for the freight to be picked-up, coordinate date & time. If Steeger is arranging the freight, this will include all aspects of dealing with various freight companies to get the best rate and delivery time. Shipping of machines will also include International shipments of machines which will involve creating Commercial Invoices and working with Customs to assure smooth movement & delivery.
Creating all labels which are to be attached to the crated machines as well as preparing the packing slip and bill of lading.
Notifying the customer that the machine has been picked-up and providing them with the tracking information
Notifying the Accounts Receivables group that the machine has shipped and that the order is ready to be invoiced.

Assist the Office Manager in any other area as requested.
