- Match and process inventory accounts payable invoices manually or electronically (e-commerce).
- Code and enter invoices for overhead payables (any invoice that's not a payment for inventory).
- Flag payables in ERP system for weekly manual check runs and ACH transmissions.
- Setup and maintain new suppliers in ERP system (W-9's on file as required).
- Print, distribute, or mail manual checks.
- File overhead and inventory payables invoices (physical or electronic filing).
- Reconcile manual and online statements from vendors.
- Respond timely to vendor inquiries.
- Track details of vendor rebate agreements in Microsoft Excel spreadsheet.
- Audit/validate reasonableness of vendor rebates received. Track rebates received in Microsoft Excel spreadsheet.
- Collaborate with claims department to ensure vendor credits are received for all approved claims.
- Serve as main accounting point of contact for one significant retail vendor account.
- Assist with annual 1099 reporting.
- Adequately update and maintain procedures based on changes to the business environment.
- Demonstrated understanding of processing inventory invoices for both stock and item inventory (matching invoice quantities, pricing, and products against orders).
- Effective problem-solving skills needed to address invoice problems (i.e., warehouse receiving issues, double-billing, damages, returns, etc.).
- Construction industry experience preferred, but not required.
- Ability to work effectively and cohesively with sales, operations, warehouse, and accounting teams.
- Detail-oriented, organized, and able to prioritize tasks effectively. Exhibits a sense of urgency when needed.
- Process-improvement mentality.
- Effective communication skills given the team environment and interdependencies among roles.
- Reliable Excel skills (sorting, filtering, vlookups, pivot tables, data manipulation, etc.).
