    Position Summary

    Responsible for timely and accurate packaging and submission of all Mortgage loans. The objectives include ensuring the bank's on-going adherence to consumer compliance regulations, performing duties relative to the bank's mortgage loan portfolio, and performing procedures necessary to improve efficiency and accountability.

    Essential Duties & Responsibilities
    • Compiles information and takes each file from application submission to loan approval, while assisting as needed for closing and loan purchase.
    • Processes all mortgage loans in a timely, efficient and accurate manner, including accurate entry of loan application information in the MortgageBot and other software or online systems.
    • Utilizes checklists to organize, request, and prepare all essential documentation for the mortgage loan file.
    • Communicates directly with the customer to obtain the information and/or documentation necessary to make a loan decision.
    • Orders flood certification. Notifies the customer and Loan Officer if the property flood zoning is questionable.
    • Coordinates the ordering of mortgage appraisals from the Appraisal Department and assists with supplying any documentation needed to that department.
    • Orders title commitments from designated title companies and reviews upon receipt. Ensures title commitment is supplied to appropriate loan officer.
    • Orders tax transcripts and social security verification documents.
    • Orders employment, deposit, mortgage, rent, and insurance verifications, as needed.
    • Orders DataVerify report. Clears any flagged items.
    • Orders proof of insurance.
    • Submits file to underwriting upon receipt of income and assets such that an underwriting decision can be made.
    • Prepares and sends files to investors on loans being processed as non-delegated or as a broker.
    • Works with the MLO, borrower, and closer to provide updates, address any issues with loan files, and to assure a smooth transition to closing.
    • Assists in clearing post-closing conditions from investors or auditors.
    • Scans all loan documents into the ImageFLow section within MortgageBot. Reviews file documentation on a regular basis and ensures all items needed are requested.
    • Inputs proper loan information into the system for processing, ensuring that all loan documentation is complete, accurate, verified and complies with company policy and /or loan program guidelines.
    • Reviews the application and all disclosures for accuracy and compliance, analyzes and calculates income, debt, credit history and other factors, such as divorce decrees, child support orders, flood certificates, and any other necessary or pertinent documentation, ultimately preparing application for submittal to underwriting, either internal or external. Consults with the MLO on any pertinent changes prior to submission.
    • Prepares and sends documentation to customers and other appropriate sources, contacts applicant and other parties to follow-up or discuss requests for information, problems or other matters related to loan document processing.
    • Maintains regular communication with borrowers, realtors, settlement agents, insurance, secondary market representatives and contract underwriters regarding loan approvals; review conditions and follows up as needed with the borrower and other contacts.
    • Keeps track and follow-up on documentation necessary to meet the pre-closing conditions and to close. Contact borrowers and meet with them as needed to collect documents, or any other paperwork needed, for approval.
    • Uses the Notes section and processor screen in MortgageBot each time a file is accessed or handled to accurately note progress of file.
    • Coordinates closing schedules with the Loan Closer. Use checklists to ensure all essential documentation will be available at the closing.
    • Meets crucial deadlines.
    • Understands and adheres to regulations and mandatory compliance guidelines and attends training as required.
    • Assists underwriting by supplying documentation necessary to complete any loan denial.
    • Maintains pipeline report and notifies management of status as needed.
    • Answers phones and assists clients, co-workers, or loan officers as needed.
    • Assists in researching and balancing general ledger items.
    • Provides back-up coverage for closing and post-closing as needed.
    • Understands and performs the requirements of the bank's SAFE Act policy and procedures.
    • Performs other job duties as required.
    Education & Experience
    • High school diploma required; Associates degree preferred
    • Two years mortgage banking experience with a working knowledge of lending and office clerical experience; or equivalent combination of education and experience.
