    Summary of Job Duties

    :The GME Program Coordinator will coordinate all activities of the Residency and Fellowship Training Program to include recruitment, on-boarding, immigration, special events, evaluation procedures, schedules, and in-training examinations. The GME Program Coordinator will work closely with the GME Residency Program Director, as well as other staff and faculty of the Department of Ophthalmology, to coordinator and documents educational and clinical activities of Ophthalmology Residents and Fellows enrolled in the programs. The GME Program Coordinator serves as the front line representative of the program and must represent the program effectively and professionally. This position also serves as administrative support to the Residency Program Director for residency and research related functions.

    In Addition, the GME Program Coordinator will coordinate all activities of the Medical Student Ophthalmology Selective Clerkship to include rotation assignments, evaluations, and other duties. The GME Program Coordinator will work closely with the Ophthalmology Selective Clerkship Director, as well as other staff and faculty in the Department of Ophthalmology.


    Qualifications:

  • Bachelor degree PLUS three (3) years of educational program coordination OR High School plus seven (7) years of educational program coordination.

  • Must possess strong communication, organization and computer skills.

    Responsibilities:

    Coordination/ Administrative

  • Directs the work flow and supervises the necessary administrative paperwork, records, and complex filing systems to support the residency program.
  • Collects, organizes, and maintains residency data and performance metrics.
  • Ensures and maintains confidentiality and security of all residency files; ensures compliance with ACGME, local GME polices (with appropriate documentation) and participates in re-accreditation processes.
  • Ensures residents maintain compliance with current licensing and institutional requirements.
  • Performs administrative duties i.e. maintain resident files, document conference attendance, updates resident and teaching schedules.
  • Provides requests for residency verifications, loan deferments, etc.
  • Provides assistance with VISA/Immigrations issues. Manage New Innovations and WebADS.
  • Assists residents with renewal of memberships, travel preparations and reimbursements, etc.
  • Manages and/or assists with the program's educational fiscal budget. Review financial program reports. Provides high-level administrative support to the residency leadership team.
  • Recruitment

  • Plan, develop, and maintain recruitment activities for Radiology Residents.
  • Reviews letters and inquiries to identify appropriate candidate for the training program in accordance with the established criteria (credentials, licensures, visas, etc.).
  • Participates in the evaluation process and ranking of residency candidates.
  • Coordinates orientation of new residents, including institutional system training and access and familiarization with institutional policies.
  • Conducts annual updates of FREIDA survey and manages NRMP, ERAS and GME Track.
  • Scheduling

  • Ensures that schedules comply with ACGME guidelines. Schedule program related activities: conferences, electives, vacations, rotations, teaching courses, committee meetings, events (retreats, orientation, graduation, etc.).
  • Prepares and attends annual program evaluation meetings, PCO meetings, staff meetings, etc. and may record and distribute minutes as needed.
  • Assists with departmental level human resources functions pertaining to the residency program, including leave, travel, payroll, benefits, and other personal issues.
  • Accreditation/Credentialing

  • Be familiar with the current Accreditation Council for Graduate Medical Education (ACGME) accreditation requirements and know where to find them. Design a system to monitor change requirements. Oversee the credentialing process for initial appointment, reappointment, and termination of residents. This position may also perform other duties as assigned
