    The function of the Contract Administrator of AF&R is to support the sales of new and used Fire apparatus to existing and new customers.

    The Contract Administrator shall be highly organized, detail oriented and work in a proficient manner. This will be a fast-paced environment.

    Reporting and Authority Relationships:


    The Contract Adminstrator will report to the Allegiance Fire and Rescue Vice President of Sales and Marketing for day-to-day operations.

    The Contract Adminstrator will report to the President of Allegiance Fire and Rescue in the absence of the Vice President of Sales and Marketing and as deemed necessary by the President for projects of their request.


    Duties and Responsibilities:
    Maintain an accurate and up to date customer account list with detailed information. Work is extensively recorded, for following through of sales contracts, contacts and commitments with the use of ZoHo CRM.
    Maintain contact with sales representative to ensure their administrative needs, projects and workflow processes are being met or maintained.
    Prepare necessary proposal documentation that is complete, meets all legal requirements and is properly executed
    Maintain necessary order documentation
    Participate in dealership sales objectives that contribute to dealership profitability
    Work closely with sales representatives and contract administration team
    Follow all instructions (written and verbal) as given by the Vice President of Sales and Marketing of the Company.
    Complete and submit all reports required and requested in a timely manner
    Ensure accuracy and completeness of all required paperwork submitted for quotes, contracts and change order reports
    Follow the proper implementation or normal operating procedures
    All other duties and tasks as assigned

    Job Requirements:


    To perform this job to the level of AF&R expectations, an individual must be able to complete all areas outlined for this position in a satisfactory manner.

    Listed below are the representatives of the knowledge, skills, and/or abilities necessary to meet the minimum job requirements.
    A minimum of a High School Degree
    Must be able to read and write specifications, proposals, and reports as well as make presentations
    Ability to do routine business math calculations, including computation of sales and quotes
    Must be organized and able to manage time effectively

    Skills and Expectations:
    Microsoft Office 365 is a must (Excel, Word, Powerpoint, Outlook)
    Strong typing skills
    High attention to detail

    Ability to handle dynamic situations and flexability
    Ability to use multiple electronic devices

    Measures of Performance:


    The Contract Administrator of AF &R shall be deemed to be performing in an acceptable manner when the following have been accomplished.

    When meeting or exceeding the expectations of sales support functions, contract accuracy and profit detail throughout the lifecycle of a successful customer sales experience.

    All customer interactions are being processed into ZoHo CRM in a timely manner.
    All paperwork is forwarded to the office in an accurate and timely manner.
    Conducts himself/herself in a professional and cooperative manner throughout the year, all the while maintaining a professional appearance.

    Sales Team satisfaction is high, with complaints held to an acceptable minimum as established by the Vice President of Sales & Marketing of the Company.


    Working Conditions:
    The work for this position will be in a climate controlled office environment. The employee should be able to lift 25 lbs. unassisted.
