• Completes a broad variety of administrative tasks for the Director including managing an extremely active calendar of appointments; composing and preparing correspondence; arranging meeting agendas; monitors and response to emails; scheduling and calendaring meetings, setting location, time, and appropriate duration, identifying, inviting, and confirming participants.
• Provided high-level administrative support by conducting research, preparing reports, database creation and management, and information requests such as QR system for clients to request appointments, QR system to request inspection, create and maintain a Teams Internal Website to schedule staff meetings, provide training resources, and upload new fillable forms.
• Performed and monitored a variety of special projects/tasks, prepared, and provided regular reports of various activities, discuss current and future projects and activities, present and resolve various issues and problems, advise Director in a timely manner of critical dates and actions required, initiate required correspondence, and provide information/resources on various topics as needed.
• Created Landlord communications including Landlord packet, fillable forms to update and add new landlords to Tenmast ensuring all supporting documentation is provided. Add and remove landlords in Abatement.
• Schedule inspections with McCright. Upload and track inspections through Tenmast and McCright systems. Create custom reports to ensure QC.
• Enter waitlist updates. Track waitlist updates through database management.
• Assist the Director with coming up with HCV Department process to improve efficiency.
• Created trackable Audit Review forms that automatically creates a scoring system for HCV Specialist to help with QC.
• Assist in a variety of department operations, order office supplies and coordinate office equipment repair and service.
• Monitor HUD forms to ensure HCV Department complies.
• Creation of custom reports as requested for internal and external use.
• Update and create reports in Tenmast utilizing scribe designer.
