Warehouse Operations Supervisor, Office of Food and Nutrition Services
DEFINITION:
Assists the food service warehouse operations supervisor by performing clerical duties.
Places orders with a variety of vendors in a timely manner and enters the receipts into the Advantage Financial System.
EXAMPLES OF DUTIES:
Performs clerical duties such as filing, typing, data processing, preparing spreadsheets, answering telephones, distributing mail, and operating office equipment.
Assists in the preparation of purchase orders for food and supplies.
Assists in the ordering and pulling of smallwares.
Tracks expenses against open purchase orders. Works with accounts payable clerk to rectify billing discrepancies.
Assists in the preparation of inventory adjustments and assists with warehouse inventory.
Places orders with vendors for restocking warehouse using open purchase orders, as directed by the supervisor. This includes food, paper, and United States Department of Agriculture (USDA) produce. Tracks expenses of USDA produce.
Communicates with vendors about shorted orders and damaged product.
Enters purchase order receipts into the Advantage Financial System, maintains purchase order files, verifies prices and products, and enters receivers into Advantage Financial System.
Receives small deliveries such as UPS or FedEx.
Communicates with cafeteria managers about products, special orders, and deliveries.
Prepares payroll sheets, maintains time sheets, and distributes paychecks.
Places orders and tracks expenses using a P-card.
Maintains and controls office supplies and equipment. Arranges for office equipment repair.
Assists with instructing and directing the activities of other office personnel as appropriate.
Completes Accident and Worker's Compensation Reports.
Submits invoices for all rewards programs and orders rewards needed by schools.
Reviews and designs office forms.
Makes decisions on routine or semi-routine matters requiring the application of past practice, office policy, and procedures.
Performs other duties of similar scope and complexity.
MINIMUM QUALIFICATIONS:
Education, Training and Experience:
High school diploma or equivalent.
Three years of data processing, statistics, and office experience. One year of the required experience must have included the review of computer-generated reports and support information.
Advantage Financial System experience preferred.
Knowledge, Skills, and Abilities:
Knowledge of office terminology, procedures, and equipment.
Knowledge of Advantage Financial System preferred.
Ability to type 40 words per minute.
Ability to operate computers for word processing and data system tasks.
Ability to create and revise diverse statistical and/or financial reports and supporting documents.
Ability to communicate clearly and effectively, both orally and in writing.
Ability to provide customer service.
Detailed oriented and accurate accounting practices required.
Excellent telephone skills.
PHYSICAL AND ENVIRONMENTAL CONDITIONS:
Work is generally sedentary and performed in an office setting.
Work involves sitting, standing, walking, bending, and lifting up to 50 pounds.
Work includes the operation of office equipment, including personal computers, and occasional limited physical activities.
Counting of inventory in all parts of the warehouse including the freezer.
