This position is responsible for the purchasing of finished goods and components for core business, new product launches, limited life/special launches and sampling programs for Hourglass Cosmetics. The Buyer creates and maintains Purchase Orders and Work Orders in our ERP system and tracks the deliverables in a detailed Open Order Report Excel model and our online project management tools. He/she works closely with the other Buyers, the warehouse fulfillment team, our supply chain planner and our 3rd party vendors to order the right quantity, at the right time, and right price. The Buyer will be evaluated on timely PO creation, order accuracy, maintenance, and delivery. The Buyer is on the front line working with our external partners to deliver our key performance metrics.

**WHAT YOU DO:**

Work Order and Purchase Order Management:

+ Issue OPC (Oracle Planning Cloud) planned POs and/or WOs in Netsuite ERP for finished goods that are filled and assembled at external partners based on the quantity forecasted, quoted vendor price, and deadlines required for New Product Development and/or Core Replenishment.

+ Manage regular calls with vendors Customer Service Reps to ensure OOR is on-track to schedule. Maintain our ERP system with inputs received during each call, including status updates, component clear and dispatch date expectations.

+ Verify that components are available for kitting and building open Work Orders within the standard lead times to meet Required Dispatch Dates

+ Update the project management tool Mavenlink and ERP system with status changes to issuance, dispatch date confirmations and estimated arrival dates.

+ Prepare and provide latest information and scenario plan (ex. Mode of Transit, Shipping in Waves, Packout either internally or externally) for launch material movement during the NPD Cross Functional Meeting.

+ Review and obtain approval of POs by Director of Sourcing and VP Operations and send PDF forms to vendors to confirm order acceptance, formula reference code, and estimated dispatch dates and ETAs.

+ Track orders In-Transit from our external fillers to our Distribution Center and from component suppliers to our global manufacturing network in the Netsuite ERP system.

+ Request vendors Certificates of Analysis and Packing Lists and ensure our Distribution and Quality Teams have the necessary information to book freight.

Reporting:

+ Download extracts from ERP system & Warehouse Management System to provide a list of Open Orders complete with their Bills of Materials and detailed Inventory In-Transit and On-Hand for each Vendor

+ Distribute OOR to cross functional internal teams in Operations

+ Maintain Open Order Report (OOR) for all vendors and track all orders throughout their production and delivery timelines.

+ Analyze Vulnerable, At Risk and Out-Of-Stock SKUs with low/no inventory compared to forecasted Sales Orders and recommend actions to ensure inventory is available for sales

+ Support Sourcing KPIs and Vendor Scorecards by providing feedback on service, quality, innovation, safety, and communication for each supplier.

BOM Revisions:

+ Analyze changes to Filling and Assembly and Bill of Materials requirements provided by Product Development and implement the changes in the Netsuite ERP system

Bill of Materials may include: raw materials, assembly, bottles, caps, tubes, applicators, inserts, labels, unit cartons, etc.

+ Update secondary and primary SKU numbers on Work Orders and Purchase Orders to reflect required artwork and design.

Continuous Improvement:

+ Ensure vendor compliance to our specifications and issue credit memos when non-conformances occur (ex. Poor quality or damaged product and labor required to sort and rework)

+ Support accounting and inventory management by adjusting receipts as necessary.

+ Conduct ad-hoc analysis and recommend improvements to create the most efficient and effective workload.

**QUALIFICATIONS**

3-5 years experience in purchasing, buying, procurement preferred

Must possess excellent organizational and prioritization skills with a strong attention to detail in a fast-paced environment

Good understanding of procurement, planning and purchasing

Proficient in Microsoft Office applications specifically, Excel (vlookups and pivot tables)

Experience with ERP, MRP, Warehouse management systems (NetSuit is a plus)

Experience with cosmetics or personal care a plus
