    General Purpose:

    The Exhibit and Sponsorship Specialist for the Meetings and Conferences (M&C) department assists and coordinates exhibitor services communication program and the execution of sold sponsorship opportunities and products for face-to-face events.

    This includes tracking and communicating with Exhibit/Sponsor customers about deliverables and tasks necessary to prepare their exhibit, content or sponsorship at each Medical Group Management Association (MGMA) event to achieve the Association's short- and long-term goals, of increasing exhibitor and sponsor satisfaction and retention.


    Essential Functions:
    Partners with the Sr. Manager, Exhibits and Sponsorship to provide excellent customer service to exhibitors for MGMA's Face-to
    • Face events.
    Answering high-volume telephone calls and emails on exhibitor inquiries about the conference to include questions about exhibitor logistics, schedules, and deliverables.

    Maintains, updates, and performs quality control reviews on the sponsorship and exhibit portions of the meetings' websites:
    ensuring accuracy of logos, company information, and overall presentation of the exhibit-sponsor program in each event.
    Responsible for researching and sourcing sponsorship items and partners to bring on board for face-to-face events. Includes oversight and logistics of sponsor activations on site. Responsible for sending weekly exhibitor and sponsor list updates to outside service partners in need of full list. 50-75% of exhibitors/sponsors are also MGMA Corporate Members. Corporate members receive additional benefits throughout the calendar year and onsite at events.

    Specialist will be responsible for tracking the Corporate Membership program and assisting in activations and deliverables onsite Assists with exhibitor onboarding; using exhibitor online portals to enable exhibitor intake information and communication.

    Gathers information and assists with production and completion of all marketing materials related to the solution center such as the Event Guide, Exhibitor Listings, Sponsor Signage Schedules and attends post-show sponsor meetings and calls for feedback and resolution of issues, builds on results and maintains relationships by sending thank you notes reiterating benefits received and leads provided and reminding of overall show value.

    Coordinate department supply requests and manage inventory for all conference supplies to include ribbons, lanyards, badges and staff uniforms with outside vendors.

    Other duties as required and necessary to ensure the success of the organization.

    QualificationsKnowledge, skills and abilities:
    Ability to consistently promote, support, work, and act in a manner in support of MGMA's mission, vision and values. Ability to initiate, prioritize and complete tasks efficiently and in a well-organized fashion. Detail orientated with exceptional organizational and follow through skills.
    Must be flexible in accepting diverse assignments.

    Strong ability in digital conference management software and solutionsStays up to date with industry trends, solutions and innovations to participate in idea generation for sponsorship and innovation with current programs.

    Strong independent problem-solving skills, able to use resources to develop creative solutions. Ability to demonstrate sound judgment, troubleshoot problems and meet deadlines. Ability to establish good working relationships with others in a team environment. Ability to represent the Association in a professional manner. Strong verbal and written communication skills. Advanced experience with Microsoft Office Suite. Ability to establish and maintain effective working relationships with individuals from all organizational levels. Ability to establish priorities and to coordinate the work activities of the Association's staff members.


    Education:
    A Bachelor's Degree is required; in Business, Hotel and/or Meeting Management, or related field is preferred.
    A Certified Meeting Professional (CMP) or Certification in Exhibition Management (CEM) is preferred.


    Experience:
    Three (3) or more years' experience in meeting, planning, exhibit management, or related experience is required.
    Familiarity with the healthcare industry is highly preferred.
    Experience in Association Conference planning is preferred.
    An equivalent combination of education and experience may be substituted on a year for year basis.
    Additional Requirements/LicensesMust have reliable transportation.

    Will need to attend conferences and sales events in various locations around the United States on a regular basis a minimum of six (6) to eight (8) times per year (approximately 25% travel per year) is required.

    Regular, predictable attendance is required.
