    The Business Office Manager @ The Carnegie at Washingtonian Center plays a vital role in upholding the operational integrity
    of the senior living community, ensuring residents' comfort, safety, and overall quality of life. This
    position requires a compassionate, detail oriented and dedicated professional committed to fostering a
    supportive and vibrant environment for senior residents and their families for the community.
    Responsible for managing the billing and finance process for all residents in the community as well as
    coordinate and communicate to home office associates and teams as necessary

    What will I do every day?

    • Stay informed about and ensure compliance with relevant regulations, policies and
      procedures in the senior living industry.
    • Identify opportunities for process optimization and implement efficient workflow
      procedures to enhance back-office operations.
    • Leverage technology and software tools to streamline administrative tasks and enhance
      resident experience.
    • Maintain resident records and ensure compliance with privacy and confidentiality
      standards.
    • Communicate effectively with residents and their families to address inquiries
      and concerns promptly and professionally.
    • Assist vendors understand the billing and payment process and how to submit invoices to
      KiscoAP.
    • Approve invoices as needed and ensure payments to vendors are sent out in a timely
      manner.
    • Review financial statements with General Manager and help identify specific trends and
      resolve questions around certain line items.
    • Communicates to Home office support teams if or when needed.
      Business Office Manager- Job Description
    • Maintain accurate and up-to-date financial records, including resident billing and
      accounts payable.
    • Collaborate with finance and accounting teams to ensure adherence to budgetary
      guidelines and financial reporting requirements.
    • Assists each resident with the billing process either via e-bill, check or credit card or
      other payment systems.
    • Ensures that the billing process for each resident is accurate
    • Assists the General Manager with Aging reports of the community and make collection
      calls.
    • Corrects the discrepancies in the customer account balances.
    • Ensures that billing statements are correctly printed and sent to residents and/or
      families.
    • Perform, administer and oversee all accounting functions.
    • Orders office supplies and keeps track of usage and inventory for the community.
    • Maintain a safe and secure environment for all staff, residents and guests following
      Kisco guidelines.
    • Maintains proper file storage for current and past residents according to state and Kisco
      guidelines.
    • Performs data entry into various database systems to include accounting and lead
      management systems.
    • Prepares various reports, logs, and schedules to ensure accuracy, efficiency and
      compliance.
    • Ensures all residents data is accurately updated in a timely manner.
    • Can learn, understand and manage different internal applications and programs.
    • Resolve Resident or Family issues and concerns on billing with a customer focused
      approach.
    • Submits check refunds in a timely manner as needed.
    • Oversees the maintenance and repair of office machinery and equipment.
    • Maintain resident related administrative files, logs, databases and lists.
    • Attend meetings and community events as required.
    • Maintain high standards of personal appearance and grooming, which includes wearing
      a name tag when working.
    • Adhere to all regulations, laws and Kisco standards, including the Associate Handbook.
    • Performs other related duties as required.

    What will I need to be successful in this role?

    • Strong problem-solving skills for analyzing difficult situations and finding effective
      solutions.
    • High competency in the use of multiple forms of technology, including Microsoft Office
      applications, internet-based and custom applications.
    • Ability to work a flexible schedule, including evenings, nights, weekends, and holidays
      as needed.
    • Bachelors Degree
    • A minimum of 3 to 5 years of experience in customer service, resident relations, social
      worker, or similar role
