    Position Overview: Human Resources Coordinator

    Embark on an exciting career as a Human Resources Coordinator, a dynamic and integral role that serves as the gateway to our Human Resources team. This entry-level opportunity is tailored for individuals eager to kickstart their career in Human Resources, offering a well-rounded experience with diverse responsibilities. As the primary point of contact, you will play a key role in delivering exceptional customer service to employees, ensuring employees have a positive and supportive interaction in Human Resources. This position reports to the Associate Director of Employee Relations and Legal Compliance Specialist.

    Key Responsibilities:

    Customer Experience:
    • Serve as the frontline representative for employee inquiries, adeptly handling questions pertaining to HR policies, procedures, and fundamental benefits.
    • Deliver exceptional customer service at the reception desk by answering employee inquiries, by phone, or email, with a focus on enhancing employee satisfaction.
    • Elevate the customer service work of HR by ensuring callers and walk-ins have quick access to the area of HR they need to connect to, while simultaneously building processes and efficiencies to streamline this access and enhance overall service delivery. Use of soft transfers, (including triggering zoom meetings or calls) to hybrid HR workers will be key.
    Community Service Work Study Coordinator::
    • Manage the Community Service Work Study students.
    • Verify student applicants' FWS award eligibility.
    • Confirm student applicants' interviews, start dates, and schedules.
    • Confirm student waivers are submitted and confirmation emails are sent.
    • Confirm agency paperwork is completed.
    • Manage the Uber for business transportation process.
    • Process new hires and confirm paperwork - I-9, direct deposit.
    • Confirm and approve student time cards.
    • Troubleshoot and research issues to ensure smooth programming
    Intake Coordination:
    • Spearhead the reception and triage of incoming inquiries related to HR functions, including employee relations, accommodation requests, and other employee-related matters, aiming to resolve them when possible and escalate as necessary.
    • Conduct initial assessments of inquiries to determine appropriate next steps
    • Serve as the primary point of contact for employees seeking HR support and ensure timely responses to their inquiries.
    • Maintain confidentiality and handle sensitive information with discretion.
    HR Support:
    • Assist with administrative support tasks for new hire onboarding (e.g., I-9 validations, password resets, W-2 forms, checklist items, direct deposit setup) and handle other compliance-related tasks.
    • Help draft HR-related communications and update employee personnel files
    • Support the Benefits team by addressing basic employee questions related to benefits. Offer additional administrative support during open enrollment.
    • Collaborate with the Talent Team by providing high-level administrative support.
    Efficiency Enhancement, Project Support, and Workday Implementation:
    • Collaborate with other HR staff on special projects and initiatives as needed.
    • Participate in various HR projects, contributing to their successful execution. Need to be agile and move to support various areas as necessary based on operational needs.
    • Review accuracy and ensure information is up to date on the website on an ongoing basis.
    • Assist in supporting functional areas during the Workday implementation, ensuring a smooth transition and adoption of new HR systems and processes.
    Qualifications:
    • Previous experience supporting HR functions is desired but not required.
    • Customer Service Excellence: Proven track record of delivering strong customer service in diverse professional settings.
    • Interpersonal and Communication Skills: Strong interpersonal and communication skills, fostering effective collaboration and relationship-building within the team and with external stakeholders.
    • Adaptability and Prioritization: Ability to thrive in a fast-paced environment, showcasing exceptional multitasking and prioritization skills to timely respond to employee inquiries.
    • Detail-Oriented and Confidentiality: Strong attention to detail, ensuring accuracy in all aspects of HR responsibilities, coupled with a commitment to maintaining confidentiality.
    • Technological Acumen: Technologically savvy, with a demonstrated ability to quickly learn and navigate HRIS systems. Additionally, demonstrate familiarity with AI and utilize it optimally for projects or initiatives to streamline processes and enhance efficiency
    • Educational Background: Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
