    Job Summary

    The People OperationsCoordinator assists with the facilitation of People Operations processes and policies. This role acts as a resource and guide to employees by providing assistance with benefits, employee onboarding, recruiting, HRIS system maintenance, and general People Operations related matters. Provides administrative support to the People Operations function as needed, including record-keeping, invoice management and file maintenance.

    Duties & Responsibilities
    • Provides customer service by answering internal and external People Operations requests and questions.
    • Coordinates the recruitment process and onboarding for temporary employees including: establishing relationships with temporary employment vendors, coordinating with hiring managers, scheduling, interviewing, tracking, and onboarding of candidates and hires.
    • Schedules interviews and manages interview logistics, such as calendar coordination and organizing interview panels.
    • Performs background checks.
    • Provides support with new hire onboarding process as needed
    • Ensures a positive candidate experience by providing timely and clear communication.
    • Assists with audits and maintenance of HRIS, benefit systems, payroll, and other People Operations programs as need for employee records and general questions.
    • Maintains People Operations files including but not limited to preparing and filing documents for employee personnel records, new hire folders, requisition folders, I-9 files, etc.
    • Coordinates processing of supplementary benefit programs, such as wellness reimbursement and Professional Development Reimbursement requests.
    • Manages department Purchase Order requests as needed.
    • Assist in the implementation and administration of HR programs including, but not limited to, recruitment, onboarding, performance management, employee engagement, and compliance with state and federal regulations.
    • Provide administrative support to the People Operations team, including scheduling meetings, processing incoming mail, organizing training sessions, maintaining employee records, handling confidential documents with discretion, and general administrative functions as needed.
    • Coordinate logistics for employee engagement activities and events to boost morale and promote a positive work environment.
    • Assists or prepares correspondence as requested, including letters, and verifications of employment.
    • Assists with processing of terminations, and preparation of required exit documentation.

    Qualifications

    Knowledge/Skills/Abilities
    • Excellent verbal and written communication skills.
    • Excellent interpersonal and customer service skills.
    • Working understanding of human resource principles, practices, and procedures. Familiarity with applicant tracking systems and resume databases.
    • Excellent time management skills with a proven ability to meet deadlines.
    • Ability to function well in a high-paced and at times stressful environment.
    • Proficient with Microsoft Office Suite or related software.
    • Ability to multi-task and adapt to a fast-paced environment
    • Display strong problem-solving and decision making skills
    • Displays meticulous attention to details
    Education & Experience
    • Associate degree in human resources or related field and/or equivalent experience is preferred.
    • Proven work experience as a Talent Acquisition Coordinator, Recruiting Assistant, or similar role.
    • At least two years related experience required.
    • Exposure to California employment laws.
    • Understanding of human resources functions and best practices.
