    Primary Purpose:

    Responsible for the efficient business operations of the Administration Department that include a variety of special projects such as: Student Transfer/Choice process and management; Attendance/Student Enrollment Trainings; SBISD Student Graduation process; Campus Fundraising and Study Trips; and other initiatives. Support in managing the budget, purchases, mileage and other financial duties for the Division. Perform routine clerical office duties as assigned for the Division of Administration & Talent, which includes Community Superintendents, Executive Director(s), and Director of Safety.

    • High School Diploma or Equivalent required
    Special Knowledge/Skills:
    • High level of confidentiality required.
    • Ability to communicate effectively (verbal and written) in English and in Spanish.
    • Effectively communicate with the district administrators regarding various policies, procedures, and legal issues.
    • Provide supports in processes and procedures related to Title IX, grievances and due process.
    • Effectively communicate with parents, campus administrators, and community stakeholders.
    • Assist with preparation of documents related to legal matters, procedural items, and policies on behalf of the Division.
    • Strong interpersonal and intrapersonal skills.
    • Strong organizational and time management skills.
    • Highly accurate record keeping/proofing skills.
    • Must have a high degree of computer proficiency using MS Word, Excel, Outlook, PowerPoint and internet search engines.
    • Ability to make presentations, utilizing PowerPoint, to various groups.
    • Must be able to work well under time constraints, in a fast-paced environment.
    • Must be able to handle multiple tasks and projects in different subject areas. Must be able to resolve problems diplomatically and effectively regarding parent, staff and community inquiries.
    • Must be able to work independently, as well as with cross-functional teams. Must be able to organize and schedule work effectively.
    • Possess the ability to make presentations to ADAs, Registrars and other SBISD groups on behalf of the Administration.
    • Ability to set up various appeal processes.
    Experience:
    • Minimum of three (3) years of related experience.
    Major Duties and
    Responsibilities:


    District Support:
    • Support Executive Director(s) of Administration, Director of Safety and Security, and Community Superintendents and projects related to their needs.
    • Provide support in presentations to district staff and preparing and scheduling meetings in advance.
    • Assist in reviewing monthly records for all department staff and ensure accuracy and timely submission of district payroll office.
    • Support in entering all purchase requisitions and process all department invoices for payment.
    • Support in managing inventory control system for equipment, supplies, and facilities.
    • Work closely with SBISD Purchasing Department to ensure materials are acquired in compliance with all rules and regulations and assist in the preparation of Board Agenda items as required.
    • Work directly with the department's administrators to assist in the preparation of the department budget and review regularly to ensure that programs are cost effective and funds are managed prudently.
    Records, Reports and Payroll:
    • Assist in maintaining accounting records using the district computer systems.
    • Assist in managing data and maintaining records for payroll including general operating fund accounts.
    • Assist with managing purchasing records and collect/deposit monies for various district programs.
    • Knowledge working with Munis finance software program.
    Other:
    • Perform other duties as assigned.

    • This position requires regular in-person interaction with the public.
    Physical Demands:
    • Repetitive hand motions.

    • Frequent sitting, stooping, bending, standing, walking and pushing/pulling.
    • Lifting up to 25 lbs. as needed.
    • Basic motor skills to access computer files for information or simple data entry.
