    Job Duties (may vary depending on region/location)Provide administrative support to departmental physicians/supervisor/manager/administrators to include receiving and disseminating of telephone/fax messages in a timely and appropriate manner using clinic and your nameProvide consistent support/coverage as needed per departmental policyDirect patients, families, and visitors to appropriate medical treatment areas in a sensitive and caring mannerAssist with the distributing of reports, records, and messages maintaining patient and clinic confidentialityAssist with maintaining internal/external supply inventoryMaintain on-site presence during business hoursComply with Micro MD and BSO departmental billing functions.

    Post patient charges and paymentsAssist Manager by coordinating, reviewing, and preparing clinic charts for patient appointments as per departmental policyMaintain the office in a neat and orderly fashion.

    Assist in maintaining a safe environmentAssist Manager and District Manager in completing request for medical records and any and all requestsMaintain charts in proper order, inserting forms and reports in the appropriate location, making certain all forms as well as dictations are completedCopy materials, obtains mail when requested.

    Initiates, prepares, updates forms, reports, and records on a routine basisRespond to corporate/physician/patient/family/attorney, inter/intra departmental general inquiries and ambiguous situationsUtilize QIP principles/techniques for organizational change and systems modificationOperate and maintain pertinent office machines/equipment to include fax, computers, copiers, etc.

    Assist with the collection, sorting and distribution of departmental mail/correspondences/ faxes/phone messages in a timely mannerPerform other duties and assignments as directed and/or necessaryInterview patients / collects information and enters into computerEnsure patients' paperwork and Micro MD matchVerify insurance and documents in computer using account case notesExplain Excelsia Injury Care paperwork to patients and ensure they understand.

    Witness patient signaturesMaintain office in neat and orderly mannerScanning and uploading paperwork to the EHR, if applicableOther duties as assignedMotor Vehicle Report MonitoringIn the event Employee does not maintain the insurance coverage required under this Policy & Procedure, and/or does not maintain a valid license to operate a motor vehicle, that Employee shall not be eligible for mileage reimbursement and is barred from operating any motor vehicle in furtherance of Company business.

    Operating a motor vehicle in furtherance of Company business without a valid state-issued driver's license to do so and/or maintain insurance of the type and amounts set forth herein shall subject the Employee to immediate disciplinary action up to and including termination.

    Minimum RequirementsHigh school diploma or GED equivalent6 months+ of medical experience in an administrative physician office settingPrevious computer skills to include data entry, Word, Outlook, etc.

    Additional Skills/CompetenciesAbility to handle multiple tasks and responsibilitiesBasic telephone and computer skillsTact and skill in patient managementExcellent communication and organizational skillsBasic understanding of medical office proceduresAbility to effectively interact with doctors, patients and co-workersAbility to triage patients, taking basic vitals (blood pressure, pulse and respiration)Physical/Mental RequirementsSitting, standing, walking, reaching above shoulder length, working with body bent over at waist, working in kneeling position, climbing stairs, climbing ladders, working with arms extended at shoulder length, lifting maximum of 20 lbs.
